BOARD OF DIRECTORS MEETING

 

January 3rd, 2006

One homeowner was present to volunteer these Good and Welfare discussion topics:

̃       All HO’s need to remove roots, trees, and other storm debris

̃       Dogs walkers not picking up their poop continues to be a problem

̃       HO lamp posts’ lighting is better

 

A private Board of Directors meeting convened:

 

The Committee reports included:

̃       The Social committee is planning the Block Party for Feb19 and the Garage sale in March

̃       The Welcoming committee needs to know when new HO’s move in

̃       The Newsletter committee is planning the next issue for Jan 15

̃       The Website committee suggested putting the newsletter ads on the website

 

The Treasurer’s Report from Tom Base included:

̃       Cash on hand                                  $43,173

̃       Reserves                                         $31,605

̃       Performance to budget (Nov 30)         $11,324 under spent

̃       Hurricane Wilma costs                     $13,150

̃       Past due assessments for 2 HO’s     $  1,277

̃       Past due fees and fines for 22 HO’s   $     608 => send letter of new fines policy

̃       Project to audit HO ledgers to ensure fines are recorded accurately and in a timely manner

̃       Project to ensure hurricane Wilma costs are clearly, separately recorded in order to calculate the special assessment

 

The Legal Report from Tom Base included:

̃       Two HO’s in legal

 

Property Manager report included:

̃       Dan S is to do the draft of the kinder, gentler  first warning of violations

 

Crime Report

̃       Crime free for November

 


 

OLD BUSINESS:

 

Gate entry guards

̃       The Post Orders are being updated

̃       Some of the gate attendants are being replaced

̃       All gate attendants must know the post orders and be able to use the computer

̃       The BoD needs access to the gate computer

 

Entrance landscaping

̃       5/5 agreed to hold payment until the contracted clean-up work was completed

̃       A proposal for a new front HHE sign was reviewed

̃       Proposals for the replacement of the front trees were discussed

̃       Three plans and bids are needed for redoing the front landscaping

̃       The bases on the front gate lamp standards need to be repaired. Bids are needed

̃       More bids for the gatehouse awning repairs are needed

̃       Cleaning the pavers with the lowest bid was approved 5/5

 

HHE HO landscaping:

̃       The HHE Landscape Handbook should be emailed to all HO’s

̃       The Coral Springs Landscaping Handbook lists the acceptable replacement trees

̃       Property Management and the BoD will tally the worst HO violations

 

 

NEW BUSINESS

 

Chronic speeding:

̃       The situation will be discussed with our attorney

̃       The newsletter will describe the new process of applying fines before assessments

̃       A letter will be sent to the HO and guest

̃       Additional speed bumps will be explored

 

Mailbox repairs:

̃       HOA repair of all HHE mailboxes will be tabled

The meeting was adjourned. The next BoD meeting will be in March 7th
