#1 Review 2005 operating results to budget:

Þ       $15,195 below budget - Action: Tom B roll into ’06 budget

Þ       Gate repair cost reduction – Action: Jay N have proposal from Gate Works at the next meeting

Þ       Pre-storm plan – Action: Benchmark is working on it

 

#2 Hurricane costs:

Þ       Estimate to date $18,447 + $4,500 + $1000 – Action: 4/4 approved explaining the assessment $’s in a letter and a special meeting

Þ       Action: get letter out Monday; have meeting 14 days later

 

#3 FPL fencing:

Þ       One bid is in – Action: 4/4 approved proceeding with the North gate; hold off on the south gate until the tree removal is complete

 

#4 Cleaning and paint speed bumps:

Þ       Estimate $100/ bump - Action: 4/4 approved proceeding up to $1,600 for 16 speed bumps

 

#5 Repairs to pavement:

Þ       $950 for the repair – Action: Lawyer send contractor insurance name HHE specifically

 

#6 Review violation letters sent to 15 HOs:

Þ       Two HO’s sent final letter Aug’05 – Action: send to legal after March 2nd

Þ       All others start fresh considering extensions on a case by case basis

 

#7 Review violations general (kinder) letter and process:

Þ       Action: Door hanger was approved for the first notice; a kinder letter was approved for the second notice. A letter should be sent to HOs informing them of the new system and timing

Þ       Action: Darlene to track violations flow and dates on a spreadsheet

 

#8 Tropics North clean up status; scope of weekly work:

Þ       Action: $6,400 approved for clean up

Þ       Action: Diane change scope of work to add bedding; fertilizing, tree trimming; Jay N to approve the new scope

 

#9 Guard house interior painting:

Þ       Two bids are in - Action: 4/4 approved proceeding with the lowest for interior (semi-gloss); Jay N to oversee prep and paint

 

#10 Gate house pavers and door repair:

Þ       Bid in for concrete - Action: 4/4 approved; Diane proceed with threshold and saddle

Þ       $2,100 pavers estimate – Action: Hold off on pavers at the guard house until the painting is complete

 

#11 Gate house light repair:

Þ       Done

 

#12 Light fixture on Wiles Rd

Þ       Action: move one from the east end

 

#13 Gate house computer software improvement:

Þ       Action: 4/4 approved guests having more dates; auto dialer; change Rom’s password

 

#14 Changes to Post Orders

Action: Tom B to email updates to BoD

 

#15 Mailbox repairs

Þ       Action: 4/4 agreed on process: hanger => letter => fine => HOA contract repair. BoD to get together separately to categorize the violations

 

#16 Paver repairs at attendant’s parking

Þ       Use pavers at the front entrance; replacing with concrete was suggested

 

#17 Parking on HOA property:

Þ       Action: Diane get ‘No Parking Tow away’ signs on Rothschild and Chardonnay

 

#18 Commercial vehicle parking by HO

Þ       Action: 4/4 approved $50/night after due process

 

#19 Landscaping plans for the front entrance:

Þ       One rendering was reviewed – Action: 4 designers to present at a BoD meeting; bids requested by Mar 15

Þ       One bid is in - Action: get 2 more bids from the spec; quote same, better, or cheaper
