BOARD OF DIRECTORS MEETING

The minutes of the December 5th meeting were approved 4/4

 

Two homeowners were present to volunteer these Good and Welfare discussion topics:

̃       Gate attendants need the support of the homeowners and should not be verbally abused by HOs

̃       Inquired about partial payments of assessments

̃       A street drain needs cleaning

̃       For making left turns out of HHE toward the east, sitting the Wiles median is against CS code

 

Committee Reports:

̃       For the Common Area Maintenance, Dave’s very thorough Feb 25th report was reviewed:

#1: For the painting of the fire hydrants, BM will handle

#2: For the replacement of trees lost in the storm, CS is to handle

#3: For the speed bump repaint, BM to get quote for ‘yellow street paint’

#4: For the gate attendant parking area, BM to get a quote for the 60+ missing bricks

#5: For the trimming of the ficus hedge east along Wiles, Jay has contacted TB

#6: For the pavement topping in the first Chardonnay cul de sac, this was tabled

#7: For the empty sign post on Chardonnay, the sign completion job will fix it

#8: For the staked trees on Chardonnay, the stakes need to be removed by TB

#9: Mowing the FPL easement can wait 60 days

#10: For commercial vehicles, BM to send violation letters

#11: For the many basketball hoops along the roads, BM to send letters to HOs to move them back according to CS code

#12: For the vacant house on Chardonnay, the maintenance is being handled

#13: For the white fence on the property line, see elsewhere in these minutes

#14: For the left turn out of HHE, see elsewhere in these minutes

 

Property Management:

̃       The new property manager is Daniel Perez at 954-804-4969. Welcome aboard Daniel!!

̃       The last inspection was Feb 19. Lakeside inspection needs to be redone. Letters of violations should go out this week

̃       To avoid violation letters to HOs that have completed the required work, Benchmark should minimize the delay from the inspection to the letter and check for work that is done  

̃       For violations of city codes, Benchmark should handle with Coral Springs

̃       Two ‘pink’ houses without approved ARFs should go to the attorney

̃       For a long standing mailbox violation, a letter should be sent to the HO about assessments for repairs

̃       For ensure violations ‘due process’, a matrix of the violations and notifications needs to be created by BM

 


The Treasurer’s report was given by Scott Matchunis:

̃       Cash on hand – operating and hurricane                                 $38,890

̃       Road Reserve                                                                      $50,844*

̃       Total past due assessments:                                                0

̃       Homeowners with late fees:                                      3 homes for $25 each

̃       Homeowners fined:                                       1 at $50 with 2 max’d out at $1,000 each

* $10,084 error in Feb needs to go back into Operating Account

           

Finance projects include:

̃       Track hurricane Wilma expenses separately against the special assessments

̃       A quote was received to upgrade the remaining signs

̃       The new Monument signs for the entrance are pending city approval

 

The Legal Report included:

̃       For the vacant house recovery of legal expense, a court date is set for April

̃       Homes at the attorney for collection: 0

̃       If prior dues or late fees  are unpaid after March 1, 2 homes will be sent to the attorney for collection including April 1 dues

 

Crime Statistics: No crime in HHE in January

 

Old Business

̃       #7: For Lights out at the entry, Albright needs to be contacted to replace a bulb on the middle standard on each side

̃       #8: For the mulch needed along Wiles and the leaning tree on Chardonnay, Jay will handle with Top Branch

̃       #9: For the plan to upgrade the gatehouse façade, this will be tabled until the signs are completed

̃       #10/13: For the repair of the pavers in the gate attendants parking, BM to handle this

̃       #11/15: For the Social committee activities of the block party and garage sale, these will be tabled until a new Social committee leader is found

̃       #14: For the fence issue, 4/4 approved a second notice to remove the fence

̃       #16: For the transponder security issues of the last BoD meeting, Jay will re-open. Transponders with Velcro attachment should not be used or re-ordered

 

New Business

̃       #1: For the inspections and handling of violations, 4/4 approved Benchmark being the vehicle to implement

̃       #2: For the gate house window protection from hurricanes, Jay will get a quote on impact glass

̃       #3: For the updating of the bank info for the new Treasurer, the forms were signed

̃       #4: For the HHE definition of commercial vehicles, 4/4 agreed that no signs on vehicles, no tool or material racks on vehicles, no trailers, no panel trucks

̃       #5: For the proposal to complete the upgrade of the street signs, 4/4 approved the quote

̃       #6: For the policy of approving paint colors on houses: swatching of the body and band needs to be done by the HO. The sequence was approved 4/4: ARF to Benchmark to Coral Springs to BoD swatch approval.

̃       For the cleaning of the HHE drains, BM needs to get a quote

̃       Partial early payment of assessments were approved as long as the total assessment is paid by the due date
