BOARD OF DIRECTORS MEETING

The minutes of the April 9th meeting were approved 4/4

 

One homeowner was present requesting an aluminum perimeter fence.

 

Property Management:

̃       The 4/30/08 property management CCR Collections Status Report was presented by MW of IPM

 

Treasurer’s Report

̃       Cash on Hand                                                          $42,988 ($6k prepays included)

̃       Road Reserve                                                          $46,537

̃       Homeowners past due assessments             12           $8,749

̃       On budget for regular operational expenses. Possible over budget items: new security company, architectural fees & gate house replacement; new front gates; replace pavers at the front entrance, painting sprinkler pipes, violation compliance legal fees, maintaining foreclosed properties, etc

 

 

Old Business

̃       For the gate attendants, the post supervisor should attend the HHE BoD meetings from now on and give a status report. Pursuit of a new security company was tabled for three months until the direction of the ’08 budget is clearer.

̃       For the new mailboxes, distribute a reminder letter and order form May 1st. Follow up should include a certified letter of a special assessment of $408 on May 12th and a notice of intent to send to collection by June 2nd. A detailed review is needed of how many orders have been placed.

̃       For the new gate house, discussions with Peter, the architect, included:

o        Peter will meet with the Coral Springs Planning and Zoning to review the plans

o        Demolition of the old gate house is estimated at $5k

o        Peter selects the fine details of tiles, windows, and ornamental. A homeowner will be consulted for the final color selection.

o        The detailed architectural design will be held off until given the go-ahead by the BoD.

o        Landscaping design will be by TopBranch.

o        The gate house project cost is ball-parked at $150-$200/squarefoot for 10’ by 20’ plus pavers, landscaping, and gates.

o        Peter needs a site survey.

o        The garbage was proposed to be put underground in the rear of the gatehouse.

o        HHE owes Peter some portion of his $6,200 fee.

o        Relocating the gate house to the west was proposed to allow a more elegant, covered entry.

o        The new gate house was tabled for three months until the direction of the ’08 budget is clearer.

̃       For the exposed homeowner’s sprinkler pump pipes, painting was tabled for three months.

̃       For the uncertain future direction of the ’08 budget, 3 of 4 approved tabling the new budget projects for three months including new security and new gate house expenditures.

̃       For the lightposts, IPM demo’d the lightpost and fixture that they supply to other HOA’s

 

The next BoD meeting is Wednesday, June 4th at 6:30 at IPM
