BOARD OF DIRECTORS MEETING

 

December 5th , 2006

The minutes of the October 10th meeting were approved 4/4

 

Board of Director positions were updated:

̃       Patrick Dean’s resignation was accepted 4/4

̃       Scott Matchunis’s appointment was accepted 4/4

̃       New officers were elected as shown above 5/5

 

BoD responsibilities were defined and agreed upon 5/5:

̃       Jay – Landscape; interface to property management

̃       Scott – Finance

̃       Tom – Website, Secretary

̃       Brian – Gate guard post orders and reports

̃       Dave – General maintenance and electric; ARF’s

̃       Small reports should be given by each at the BoD meetings

 

Two homeowners were present to volunteer these Good and Welfare discussion topics:

̃       Repairing the lights out along Wiles

̃       TT’s BoD seat has expired and should be replaced by another homeowner

 

The Committee reports included:

̃       For the Social committee, goals for the next block party budget were suggested: February time frame; budget of $1000. An open-gate garage sale was approved 5/5

̃       For the Welcoming committee, Tom T volunteered to post announcements on the website and to greet new HO’s with a basket including the Rules & Regs

 

The Treasurer’s report was given by Tom Base:

̃       Cash on hand – operating and hurricane                                 $96,632

̃       Road Reserve                                                                      $38,346

̃       Total past due assessments:                        7 regular $2,624, 2 special $1,214

̃       Homeowners in collection:                                                    0

̃       Homeowners late fees                                                          10 at $25 each

           

Finance projects include:

̃       Track hurricane Wilma expenses separately against the special assessments

 

The Legal Report from Tom Base included:

̃       For the vacant house, a judgment on the recovery of legal fees is expected by the end of the year

̃       Homes in foreclosure for non-payment of assessments: 0

 


Old Business

̃       For BoD decision making, expenses out of budget were requested to be approved by all BoD members

̃       To improve security of the transponders, a proposal was made to require all homeowners to re-register their transponders to a specific vehicle and address. Then non-registered transponders would be turned off. The plan, approved 3/3, included: a letter to HO’s Dec 15 requesting re-registration by Jan 15; a reminder flyer would be sent out Jan 6 and a follow up letter Jan 21; 125 re-registrations would be required before transponders were turned off. Jay will handle transponder inventory with Benchmark. The ‘Transponder Form’ was suggested to be available in the mailing, at Benchmark, on the website

̃       Crime Statistics: two auto burglaries: one in August and one in September

̃       Brighter up-lighting of the front landscaping was tabled 3/3 til the front sign is completed

̃       For the request to allow horseback riding access to the FPL easement, 4/4 agreed to not allow access.

̃       For the lights out along Wiles, 4/4 approved continuing the existing light bulb replacement system. The east side requires a new transformer to be installed by a contractor

̃       For the new front signs, signing the deposit check was approved

̃       The remaining agenda items were tabled

 

 

Property Management

̃       The new property manager is Bill Spilman at 954-950-4266

̃       The next inspection will be December 7th

̃       For a specific property management violation, the HO was given until the end of December to rectify the remaining violations

̃       For several specific violations, the HO’s needs to put up a hedge to hide the perimeter fence

 

New Business

̃       The post orders should be updated with the definition of commercial vehicles and the security night rover’s responsibilities. For the commercial vehicle definition: discussions included pipe racks, panel vans, and ladders; the city guidelines were suggested to be the starting point.
